Job Description:
Receptionist and Switchboard (MS Ops) Los Angeles, CA (onsite)
This position works closely with office administration to represent
the customer s culture to external visitors. Responsibilities
include greeting callers/clients, managing conference room
scheduling, preparing for client visits, and handling travel
arrangements when needed. The role supports group company
activities, clerical duties, reception, mail services,
shipping/receiving, and general office support. Reports directly to
Site Manager or Assistant Site Manager. Responsibilities Greet
visitors/guests, validate against guest list, provide badges and
parking validation. Serve as company concierge offer tours, hotel
and restaurant recommendations. Coordinate catering with vendors
and support staff for meetings. Maintain and update company phone
and speed dial lists. Schedule and prepare conference rooms with
supplies and AV equipment. Back up clerical support for Executive
Assistants. Assist with office services including mail, shipping,
copying, scanning, and supply ordering. Support daily facility
management and office operations requests. Create proposals in
customer systems and support executive-level client-facing staff.
Vendor procurement and coordination for special projects. Represent
both Ricoh and customer culture as required. Perform other duties
as assigned. Requirements High school diploma or equivalent.
Minimum 1 year of prior switchboard or receptionist experience.
Excellent verbal and written communication skills. Proficiency with
MS Office Suite, specifically Word and Excel. Strong organizational
skills, ability to prioritize tasks and manage time efficiently.
Flexibility to start early or work late to meet client needs.
Professional appearance and demeanor required. Ability to lift up
to 50 lbs; moderate physical activity including sitting, walking,
standing, bending, and reaching. Experience in hospitality or
office operations support preferred; law firm or business office
environment experience ideal. Ability to work in a team environment
with a positive attitude and self-motivation. No law profession or
legal industry experience (e.g., Administrative Assistant,
Paralegal) accepted. Hospitality candidates with concierge
