Job Description:
Real Estate Office Manager
NAI Capital Commercial is currently seeking a professional and
dependable 40 hour per week real estate Office Manager for its
Diamond Bar commercial real estate branch. This is an in-office
position only.
Job Summary
The Office Manager is responsible for running the day-to-day
operations of the office, providing general office organization,
administrative support and assistance with marketing projects. This
position works closely with the Executive Managing Director as part
of a team to deliver top quality commercial real estate services
and support for the office's brokerage team.
Job Requirements
3+ years of Office Manager experience required
Real Estate administrative support experience required
Must have excellent typing, advanced MS Office skills (Excel, Word,
PowerPoint)
Ability to learn in-house marketing software (Buildout & In
Design)
Attention to detail and strong proofreading skills necessary
Multi-line phone experience
Must be reliable, a team player and be able to work
independently
Possess excellent organization and communication skills
Ability to prioritize, manage multiple tasks and meet strict
deadlines.
Must be able to work with a range of personalities, be professional
and stay calm under pressure
Excellent time management skills
Problem solving and analytical skills
Professional appearance and demeanor with the ability to handle
confidential/sensitive information with discretion
Job Duties
Typing correspondence, reports, memos, tables, real estate
proposals and leases, prepare meeting agendas, mail merges and
process mailings
Schedule email blasts or Atomic Mailers
Answer phones and greet clients
Design and produce most in-house flyers/brochures
Assist agents with developing presentation/marketing pieces
Prepare demographic reports and aerial maps using in-house
programs
Run Costar, AIR, LoopNet and other real estate property and
database searches
Prepare commission billings for completed deals. Maintain billing
log and follow up on unpaid commissions
Prepare and make bank deposits, maintain deposit log and process
incoming commission payments
Prepare reports for Executive Managing Director and Corporate
Office
Maintain files for Executive Managing Director's review to be in
DRE compliance
Maintain database and entry of both sale and lease comps
Process all sign installation and removal requests
Process new agent paperwork and orientation
Provide basic technical support and training to agents
Work with the corporate office to maintain policies and
procedures
Maintain office & kitchen supply inventory by checking stock to
determine inventory level; anticipating needed supplies; placing
and expediting orders for supplies; verifying receipt of
supplies
Operate and ensure operation of office equipment (fax, copiers,
printers, postage meter, etc.) by completing preventative
maintenance requirements; calling for repairs; maintaining
equipment inventories; evaluating new equipment and techniques
Uphold upkeep of office appearance (reception area, conference
room, kitchen, common areas)
Report any issues to Property Management
Other duties as assigned
Salary: $ 25 per hour
